Privacy policy
Draft, November 2026.
Our Mileage is run by Our App. This page explains what we keep, why, and your rights under UK data protection law (UK GDPR).
What we keep
Your name and email address; your business's name; your vehicles (name, registration and type); places you save; and your business trips: date, reason, where they started and ended, odometer readings and photos, miles, and the route map. If you record a trip as you drive, your phone's location is taken at the start and the end, and along the way if you turn tracking on, only while that trip is being recorded and only on that page. We don't use your contacts, and we don't track you across other apps or websites.
Why
Only to provide the service you signed up for: recording business trips, working out your mileage claim at HMRC's rates, and producing claim sheets.
Where it is kept and for how long
On our servers in the EU, locked and backed up nightly, for as long as you have an account. When you delete your account it is removed straight away, and from our backups within 14 days.
Who else sees it
The owner of your account sees the trips recorded by everyone in it. We never sell your data and there is no advertising. We use a small number of processors to run the service: hosting (Hetzner), email (Resend) and card payments (Stripe). If you connect Dropbox or Google Drive, copies of your trip and claim PDFs go to the account you connect, and your accounts team's if they connect one. The accounts manager and the person who signs claims off, whose names and emails you give us, receive the monthly claims by email. To find places and road distances, the postcodes or addresses you type, and the start and end points of a trip, are sent without your name to postcodes.io and OpenStreetMap's services (Nominatim and the OSRM router); map pictures come from OpenStreetMap.
Your rights
You can download your trips at any time as a spreadsheet from the Claims page, change it, or delete your account from Settings (in the app or on the website). You can also email hello@our-app.com. You can complain to the Information Commissioner's Office (ico.org.uk).
