How do I record a trip?
On Home, choose your vehicle, take a photo of the odometer if you like, and tap Start trip. Keep the page open (phone in a holder) to track the route with GPS. When you arrive, photograph the odometer again, give the business reason and tap Finish trip.
I forgot to record a trip. Can I add it afterwards?
Yes: Add a trip. Give the date, the reason, and where you started and finished (postcodes are best). Tap “Work out the miles by road” and the driving distance on the road network is filled in, with a route map. Tick “Return trip” for there and back.
Which rates does Our Mileage use?
HMRC's approved mileage rates. Cars and vans: 55p a mile for the first 10,000 business miles in the tax year (from 6 April 2026; 45p before that), then 25p. Motorcycles 24p, bicycles 20p, plus 5p a mile for each passenger on business. The tax year runs from 6 April to 5 April.
Where do the miles come from?
In this order: miles you type; otherwise the odometer readings; otherwise the GPS track or the road distance between your start and end. Always take off any private part of a journey, such as a detour home.
How do I give my accountant the claim?
Open Claims, choose a month or a tax year, then print it, save it as a PDF, or download a spreadsheet (CSV).
Can people who drive for my business use it?
Yes. The account owner can invite drivers from Team. Each person has their own 10,000-mile allowance; the owner sees everyone's trips and claims.
How are my claims sent and signed off?
Just after midnight on the 1st of each month, the full claim sheet for the month before (every trip with its map and dashboard mileage photos) is emailed to the account owner and the accounts manager, and filed in your Dropbox or Google Drive and your accounts team's. If someone is set to sign claims off, they get a link to sign off or query each person's claim; once signed off, the accounts manager or owner marks it paid. A signed-off month can't be changed unless the owner reopens it.
Where are my claims kept, and who has to keep them?
Each trip and claim is filed as a PDF in the storage you connect, and kept in Our Mileage while your account is open. Your business is responsible for keeping its records for as long as HMRC asks (usually 5 to 6 years). For £1 a month extra, the claim backup keeps a copy of every monthly claim with Our App for 6 years.
How do I delete my account?
Settings → Delete account, in the app or on the website. It is deleted straight away. Download your claims first: HMRC can ask to see mileage records.
